AI Applyd ("we," "our," or "the Service") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data. AI Applyd is developed and operated by Ava Bagherzadeh, based in Vancouver, BC, Canada. By using AI Applyd, you consent to the data practices described in this policy.

2. Information We Collect

We collect the following types of information:

Account Information

When you create an account, we collect your name, email address, and authentication details. If you sign in with Google OAuth, we receive your name, email, and profile picture from Google.

Career Profile Data

You provide personal information such as work history, education, skills, and career preferences that AI Applyd uses for resume scoring, job matching, AI-powered applications, resume building, and application tracking. This data is stored securely and used only for providing the Service.

Job and Resume Data

When you upload resumes or add job listings, AI Applyd processes this data using AI models to generate ATS scores, match assessments, and improvement suggestions. Resume content is stored securely for scoring purposes.

Usage and Analytics Data

We collect anonymized usage data such as feature usage, session duration, and general interaction patterns to improve the Service. This data is collected via PostHog analytics.

Payment Information

Payment details (credit card numbers, billing addresses) are collected and processed directly by Stripe. We do not store your full payment card details on our servers. We only receive transaction confirmations and subscription status from Stripe.

3. How We Use Your Information

We use your information for the following purposes:

  • Providing and operating the AI-powered job application platform
  • Processing your career data for resume scoring, job matching, AI-powered applications, and resume building
  • Processing payments and managing subscriptions
  • Sending transactional emails (account verification, password resets, payment receipts)
  • Sending onboarding and product update emails (you can unsubscribe at any time)
  • Improving AI accuracy and Service quality based on anonymized usage patterns
  • Ensuring security and preventing abuse

We do not sell, rent, or trade your personal information to third parties.

4. Third-Party Services

We use the following third-party services to operate AI Applyd. Each service has its own privacy policy governing how they handle data:

  • Stripe - Payment processing and subscription management
  • Resend - Transactional and marketing email delivery
  • PostHog - Product analytics and usage tracking (anonymized)
  • OpenRouter - AI model provider for resume scoring and job matching
  • Google OAuth - Optional authentication provider
  • Cloudflare - Hosting, CDN, and security infrastructure
  • Cloudflare Turnstile - Bot protection (replaces CAPTCHA)

When you use AI-powered features like resume scoring, AI-powered applications, or resume building, relevant data is sent to our AI provider (OpenRouter) for processing. We only send the information needed for the specific action being performed.

5. Data Storage and Security

Your data is stored on Cloudflare's global infrastructure using encrypted databases (Cloudflare D1). All data is encrypted in transit using TLS/HTTPS. We follow industry best practices for securing your information, including access controls, regular security reviews, and minimal data collection. Only the creator (Ava Bagherzadeh) has administrative access to the production database.

6. Data Retention and Deletion

We retain your account and profile data for as long as your account is active. You can delete your account at any time from your dashboard settings, which will permanently remove your account data, career profiles, and usage history. After account deletion, we may retain anonymized, aggregated data that cannot be linked back to you. Payment records may be retained as required by law or for legitimate business purposes (such as accounting and tax obligations).

7. Cookies and Tracking

AI Applyd uses the following types of cookies and tracking technologies:

  • Essential cookies - Required for authentication, session management, and security. These cannot be disabled.
  • Analytics - We use PostHog to collect anonymized usage data. PostHog uses cookies to track sessions and identify returning users. This helps us understand how users interact with the Service and where to make improvements.

We do not use advertising cookies or third-party tracking pixels.

8. Email Communications

We send the following types of emails:

  • Transactional emails - Login links, password resets, payment receipts. These are necessary for the Service and cannot be unsubscribed.
  • Onboarding emails - Getting-started guides and tips sent during your first week. You can unsubscribe at any time.
  • Product updates - Milestone notifications, feature announcements, and re-engagement emails. You can unsubscribe at any time.

Every marketing and onboarding email includes an unsubscribe link. You can also contact us at any time to opt out of non-essential communications.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access - Request a copy of the personal data we hold about you
  • Correction - Update or correct inaccurate personal data
  • Deletion - Request deletion of your personal data (available through account settings or by contacting us)
  • Portability - Request your data in a structured, machine-readable format
  • Objection - Object to the processing of your data for certain purposes
  • Restriction - Request that we limit the processing of your personal data

10. Children's Privacy

AI Applyd is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 16, we will take steps to delete that information promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make material changes, we will notify you by email or through the Service. The "Last updated" date at the top of this page indicates when this policy was most recently revised.
